Appointment Cancellation and No-Show Policy

At ATMA CENA Psychedelic Healthcare Solutions, we strive to provide the highest quality of care to our clients seeking mental health services, including psychedelic–assisted therapy. Our commitment to excellence extends not only to the therapeutic services we offer but also to the efficient and ethical management of our clinic operations.

An essential aspect of maintaining this standard is the effective handling of appointment scheduling, including the management of no–shows and cancellations.

Policy Statement

The clinic requires clients to provide at least 24 hours’ notice for cancelling or rescheduling any Psychedelic Drug Treatment Service (PDTS) or Repetitive Transcranial Magnetic Stimulation (TMS) appointment. This allows the clinic to manage its resources efficiently and offer our other clients the available appointment times. Based on the providers discretion, a fee will be charged to clients for Psychology appointments that are cancelled within this timeframe or in the event of a noshow. This may also result in the postponing of additional treatment sessions within the program.

Client Information and Responsibilities

Clients will be informed of this policy at the time of their program assessment. Clients will be required to acknowledge their understanding and agreement to the appointment cancellation terms. This agreement will include authorization for the clinic to charge the cancellation/noshow fee to the credit card on file for all missed Psychology appointments that are offered as a component of the Psychedelic Drug treatment Services or TMS programming.
The following items outline the client responsibilities.

Credit Card on File: Clients are required to have a valid credit card on file. This will be a prerequisite for booking program appointments to ensure the smooth processing of fees as necessary.

Cancellation/NoShow Fee: A fee of $100.00 will be charged to the client’s credit card on file for each missed psychology appointment or cancellation that occurs less than 24 hours before the scheduled time.

Notification Process: Clients must inform the clinic about the cancellation or the need to reschedule an appointment at least 24 hours prior to their appointment time. This can be done via phone or email or directly to the provider through notifying the clinic at info@atmacena.com.

Reasons for Cancellation: While the clinic maintains a strict cancellation policy, we understand that emergencies happen. Clients are encouraged to provide the reason for cancellation, and consideration for waiving the fee will be determined on a casebycase basis by the provider for circumstances such as sudden illness, family emergencies, or severe weather conditions.
5. Rescheduling: Clients wishing to reschedule their appointment should contact the clinic and/or provider as soon as possible to arrange an alternative time. The clinic will do its best to accommodate these requests based on our provider’s availability.
