Refund Policy for Clinical Program

At ATMA CENA, we strive to provide the highest quality care and services to our clients. We understand that there may be circumstances where a client may need to cancel or reschedule their appointment(s). Our refund policy is designed to accommodate these needs while also covering
the costs of administrative and clinical services.

General Guidelines:

Refund Requests: All refund requests must be submitted in writing via email to our administrative team at info@atmacena.com. Please include your full name and reason for the refund request.

Processing Time: Refund requests will be processed within 14 business days from the date of receipt.

Refunds will be issued in the same form as the original payment method.

Refund Policy Breakdown:

Administrative Work
Administrative tasks include scheduling appointments, managing patient records, initial consultations, and processing the refund. As part of this work, a 10% administrative fee will be applied to all refunds.

Refund Process for Clinical Programs:

  1. Ketamine treatments:
    Cancellation 7 Days or More Before first medication treatment appointment a full refund minus a 10% administrative fee.
    Cancellation during program will require refunds to be prorated based on the services used and include a 10% administrative fee.
  2. RTMS treatments:
    Cancellation 7 Days or More Before first treatment appointment a full refund minus a 10% administrative fee will be provided.
    Cancellation during program will require refunds to be prorated based on the services used and include a 10% administrative fee.
  3. Special Access Program (SAP) for Psilocybin and MDMA
    Due to the unique and regulated nature of SAP treatments, the following policy applies:

Application Fee: Non-refundable once the application process has begun.

Post regulatory approval following client payment: Cancellation 7 Days or More Before first medication treatment appointment a full refund minus a
10% administrative fee and additional costs that may have incurred. Cancellation at any time during program, refunds will be prorated based on the services used and include a 10% administrative fee.

Rescheduling: Clients may reschedule their appointments up to 24 hours before the scheduled date without any additional fees. Rescheduling less than 24 hours before the therapy or treatment appointment will incur a $100.00 rebooking fee.

Emergency Situations: In the case of a verified emergency (medical, family, etc.), we will review refund requests on a case-by-case basis. Please contact our administrative team as soon as possible.

Package Deals: If services are purchased as part of a package, refunds will be prorated based on the services used and the applicable cancellation policy for each service.

Business Discretion: ATMA CENA reserves the right to cancel appointments under certain circumstances. This may include unforeseen events (i.e., emergencies, staff shortages or technical issues), safety concerns, and noncompliance if a client does not comply with our policies or guidelines.
In the event of an appointment cancellation, we will promptly notify the affected client(s) by phone or email. We will make reasonable efforts to reschedule or provide alternative solutions. The application of the rescheduling fee is subjective, and staff are empowered to waive the rescheduling fee as they feel appropriate.
